How to turn WhatsApp conversations into a sales workflow

Move beyond instant replies with a simple system for answering questions, qualifying buyers, and routing conversations to your team.

WhatsApp can be a high-intent sales channel, but only if the experience is designed around the customer's next step rather than a pile of automated replies.

01

Answer the first question immediately

Customers often start with something simple: price, availability, delivery, sizing, location, or product details. Make those answers easy to find and consistent with your current business information.

02

Use the conversation to qualify

After the first answer, the agent can ask a small number of useful follow-up questions. For example, a furniture buyer may need dimensions and delivery location, while a dealership lead may be comparing models and asking about a test drive.

The important part is relevance. Qualification should feel like helpful guidance, not a form hidden inside a chat.

03

Create a clear sales handoff

When a lead is ready for a quote, appointment, negotiation, or another action that needs a person, route the conversation with context. Your team should not have to ask the customer the same questions again.

  • Customer details and preferred contact method
  • Products or services discussed
  • Buying intent and requested action
  • Conversation history and unanswered questions

04

Keep the system maintainable

Review the questions customers ask most often and improve the underlying knowledge instead of adding one-off replies. A maintainable knowledge source keeps the agent useful as your catalog, policies, and offers change.
